Medical Office Manager

Job Description: 

  • This person will be the point of contact for members, answering queries and assisting with adhoc requirements.
  • This person is key in the communication between internal and external stakeholders and record keeping of such communication and related administration.
  • Management of memberships using Glue Up (software package). Membership management involves annual renewals / invoicing, new applications and cancelled memberships.
  • Updating all records with regards to members and stakeholders.
  • Responsible for company communication and managing the inbox and address all messages timeously.
  • Managing the logistics around council meetings and AGM – venue hire, catering, flights and accommodation assistance.
  • Taking of minutes and notes during meetings, and long council meetings and compile into a sharable format.
  • Ad hoc duties i.e., engraving of medals, distributing merchandise.


  • 5 + years experience in administration and record keeping.
  • Experience in a customer facing environment
  • Preferably experience within the healthcare sector.
  • Familiar with Zoom as a virtual environment and experienced with Outlook & Dropbox.
  • Find it easy to navigate new software, having worked with a variety of software packages.
  • Excellent Excel skills
  • Understanding of financial practices i.e., credit notes and reconciliations.
  • Can conduct meetings and communicate in a professional manner and tone. Exceptional English vocabulary.
  • Very polite and positive. Fluent when speaking on the phone. Confident to phone members and discuss queries. Happy to liaise and network.
  • Scheduling and working within time frames. Not procrastinating on unfamiliar tasks, but a nature of finding solutions and finishing the job at hand.
  • Mature and emotional intelligent. Aware of social structures and chain of command.
  • Team player
