Office Manager

Job Description: 

  • General receptionist duties
  • Welcoming clients, operating the switchboard, printing/scanning, making coffee/tea, preparing the boardroom for client meetings.
  • Client management
  • Onboarding new clients (preparation of client files, ensuring FICA/compliance is up to date, completing application forms as required, etc).
  • Updating and maintaining filling system and client database.
  • Capturing data for our consolidated client reporting purposes.
  • Quarter End reports (downloading and checking of client statements/Seed reports, preparation of the client letter/email, emailing of client quarter end reports).
  • Third party management
  • Preparing various documents – Applications for Unit Trusts, RA’s / LA’s, Foreign Investment accounts, Switch/Rebalance forms, Withdrawal/additional investments
  • Accounting/Fees
  • Preparing client fees.
  • Loading invoices on our in-house accounting software.
  • Petty cash register (buying office supplies, ordering stationary, paying domestic helper, etc).
  • Other ad hoc duties

Qualifications: 

  • Minimum experience in Office Administration of 3-5 years. 
  • Grade 12 National Senior Certificate.
  • Tertiary education qualification si preferred but not essential.
  • Experience with technology and software across different applications; Intermediate
  • Proficiency in Microsoft Office (Outlook, Word, and Excel).
  • Knowledge of Mail Merger.
  • Knowledge of Excel formulas.
  • Ability to work quickly and accurately.
  • High attention to detail and able to handle pressure during peak times (e.g. quarter ends).
  • Strong communication and interpersonal skills (especially when dealing with clients). Strong organisational skills and ability to take initiative when required.
  • Previous experience in financial services industry beneficial.
  • Knowledge of FICA (individuals and companies/trusts) beneficial.
