Job Description:
- Administrative support – provide general administrative and secretarial support
- Preparing correspondence and presentation material, drafting emails and letters, prioritising documents and providing general assistance to the Chief Financial Officer.
- Providing general and administrative support to the Finance Department.
- Provide basic budget administrative support and manage the Chief Financial Officer’s expense claims.
- Manage information flow in a timely and accurate manner.
- Assume responsibility for secretarial support for the organisation’s Audit and risk committee (ARC) meetings and pursuant actions required.
- Provide donor proposals/applications with standard information and document management.
- Basic review of finance documents.
- Preparation of weekly receipts and compiling 18A certificates where required.
- Coordinate and manage the Chief Financial Officer’s calendar
- Schedule meetings, appointments, and other activities to optimise the Chief Financial Officer’s time.
- Manage meetings with internal staff and external parties (e.g., Banking and investment parties, auditors, internal auditors, etc.) and take minutes of meetings.

Qualifications:
- This position requires a strong background in the administrative/secretarial field.
- A personal assistant or executive assistant diploma will be beneficial
- Experience of at least two years as an executive personal assistant
- Working experience in basic accounting will be beneficial
- Working experience in project management environment and project administration
- Good experience coordinating executive-level meetings
- Excellent use of English and Afrikaans: oral and written for writing, copywriting and editing
- Proficiency in MS Office, including Outlook and digital capabilities
- Quality orientation with attention to detail for high levels of accuracy
- Strong capability to multitask, organise, prioritise, and streamline tasks
