Job Description: 

  • Screen phone calls, emails, and correspondence, responding on behalf of the executive
  • Draft and review communication for the executive, ensuring clarity and professionalism.
  • Prioritising of emails and tasks
  • Taking of minutes
  • Internal and external communication
  • Discreetly handle confidential information
  • Assist Project manager in completion of projects
  • Manage the executive’s calendar, scheduling meetings, and prioritising appointments.
  • Coordinate travel arrangements as needed
  • Assist with the preparation of reports, presentations, and correspondence.
  • Anticipate the needs of executives and proactively address them.
  • Administrative functions for the operations team.
  • Project Assistance
  • Assist in project management, including tracking deadlines, deliverables, and resources.
  • Conduct research as needed for executive decisions or projects.
  • Financial & Budgeting Support
  • Manage expense reports and assist in budget tracking for the executive.
  • Process invoices and track financial documentation related to the executive’s office.

Qualifications: 

  • Relevant Qualification and experience
  • Exceptional organizational and time-management skills.
  • Strong communication skills, both written and verbal.
  • Ability to manage multiple tasks with a high level of attention to detail.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
  • Ability to prioritize and adapt in a fast-paced environment.
  • High level of confidentiality and discretion.
  • Proactive and solution-oriented approach to challenges.
