Job Description: 

  • Event Planning and Management
  • Conceptualise, plan, and execute a variety of events, including weddings, corporate functions, wine tastings, festivals, and private celebrations.
  • Collaborate with clients to understand their vision, goals, and budget to deliver tailored event experiences.
  • Develop comprehensive event timelines, checklists, and plans to ensure all aspects of the event run smoothly.
  • Source and liaise with vendors, suppliers, and entertainers, ensuring quality and cost-effectiveness.
  • Conduct site inspections and plan layouts that optimize the use of the estate’s unique venues and surroundings.
  • Operational Oversight
  • Oversee event set-up and breakdown, ensuring all logistics are executed to perfection.
  • Manage on-site event staff, providing direction and support during functions to maintain high service standards.
  • Troubleshoot and resolve any issues that may arise during events to ensure client satisfaction.
  • Maintain inventory of all event-related materials, equipment, and décor items, ensuring they are well-maintained and available when needed.
  • Business Development
  • Proactively seek new opportunities to attract clients and secure bookings for the estate’s event spaces.
  • Work closely with the marketing team to promote event services through campaigns, social media, and networking events.
  • Build and maintain relationships with event planners, corporate clients, and local businesses to encourage repeat bookings.
  • Client and Guest Relations
  • Serve as the primary contact for clients, ensuring effective communication from initial inquiry to post-event feedback.
  • Provide expert guidance and creative suggestions to enhance the client’s event experience.
  • Establish a warm, welcoming, and professional atmosphere for all guests attending events.
  • General Responsibilities
  • Manage event budgets, ensuring cost-efficiency while maintaining the estate’s high standards.
  • Prepare detailed post-event reports, identifying successes and areas for improvement.
  • Stay informed about industry trends and best practices to introduce fresh, innovative ideas to offerings.
  • Coordinate with the estate’s hospitality, wine production, and culinary teams to align event objectives with the broader vision of the brand.
  • Maintain compliance with all health, safety, and legal regulations related to events.

Qualifications: 

  • Proven experience in event management, hospitality, or a related field.
  • Strong project management skills, with a track record of delivering events on time and within budget.
  • Proficiency in event management software and tools, as well as Microsoft Office Suite.
  • Own reliable transport and a valid driver’s license.
  • Flexibility to work evenings, weekends, and public holidays as required.
