Supply Chain Coordinator

Job Description: 

  • Operational Tasks and responsibilities
    • Create and execute loadout plans.
    • Perform stock checks and reconcile the system stock vs actual.
    • Process stock corrections and confirm batches and transfer notes.
    • Coordinate and manage operations at various depots.
    • Liaise with Procurement on allocation changes and operational issues.
    • Maintain communication with PPECB regarding rejections and inspection outcomes.
    • Manage and resolve system issues E.g., API errors
    • Create truck transfers between depots.
    • Respond to temperature-related queries.
    • Maintain equipment stock and ordering thereof.
    • Coordinate the relabelling and rebuilding of stock if required.
    • Building and maintaining strong relationships with service providers.
    • Arranging transport from export depots when required
  • Administrative tasks and responsibilities
    • Update, consolidate and distribute weekly grower forecasts.
    • Issuing and distributing pack instructions to growers and packhouses.
    • Oversee operations including generating invoices, verifying documents and creating custom packs.
    • Manage export consignment processes, reviewing and confirming accuracy of export documentation and maintaining records of relevant documentation.
    • Monitor and update shipping dates; track flights and consignments upon arrival.
    • Organic certification application, including submission, final issuance and recon thereof.
    • Record and distribute meeting minutes and actions
    • Add temperature recorder details on the appropriate platforms
    • Update the intake temperature template
    • Manage and process any additional handling costs
  • Grower & Customer Support
    • Respond to grower and customer queries professionally and promptly.
    • Maintain up-to-date contact details for grower and client (consignee notify party) across all platforms.
    • Create and manage packaging specs and brand links.
    • Create new user accounts on the system and facilitate grower training.
    • Compiling of post-season reviews for growers, customers and service providers.
    • Report to growers and packhouses regarding stock errors, incidents etc.
  • General
    • Ensure that efficient testing and training have been done on all systems.
    • Flexible and available to perform ad-hoc tasks throughout the season according to the company’s needs.
    • Traveling to the airport industrial area when required in season.
    • Managing and updating Power BI dashboards.

Qualifications: 

  • Logistics or equivalent tertiary diploma/certificate
  • Experience in the perishable export industry (desirable)
  • Driver’s license and own transport.
  • FMCG knowledge
  • Proficiency in ERP systems (desirable)
  • Administrative knowledge
