Job Description:

  • Act as the first point of contact for residents and manage all incoming calls, emails, and queries
  • Maintain reception area, office equipment, and office supplies
  • Manage correspondence, filing systems, and distribution of post
  • Maintain and update resident, owner, tenant, and pet registers
  • Coordinate property transfers, estate agent accreditations, and security updates
  • Manage bookings for facilities such as the Chapel and Park
  • Assist with budget preparation and collect input from committees
  • Process invoices, payments, and maintain financial records including cashflow and asset registers
  • Capture and manage maintenance quotations and staff leave records
  • Coordinate HOA meetings, prepare agendas, and compile and distribute minutes

Qualifications:

  • Matric / Grade 12 (National Senior Certificate)
  • Relevant diploma or certificate in Office Administration (advantageous)
  • Previous experience in an administrative role (estate/property environment advantageous)
  • Proficiency in Microsoft Office (Word, Excel, Teams)
  • Experience with estate or admin systems (e.g. My Estate Life) advantageous
  • Strong organisational and administrative skills
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to manage multiple tasks and prioritise effectively
  • Ability to work independently and take initiative
