Job Description:

Client Support & Communication

  • Act as the primary point of contact for clients within the Traffic Fines portfolio.
  • Respond to client queries via phone, email, and virtual meetings in a timely and professional manner.
  • Maintain strong client relationships by ensuring accurate and reliable service.

Quotations, Invoicing & Reconciliations

  • Prepare and send service quotations according to client requirements and agreed pricing structures.
  • Generate accurate invoices and distribute monthly account reconciliations.
  • Investigate and resolve any billing discrepancies.
  • Follow up on outstanding payments and assist with collections where required.

Reporting & Record-Keeping

  • Prepare and share monthly reports on fines activity, disputes, and outcomes.
  • Maintain accurate and up-to-date client records within internal systems.
  • Ensure data integrity across all admin and reporting processes.

Issue Resolution & Internal Coordination

  • Handle queries and disputes professionally, escalating when necessary.
  • Collaborate with internal teams (Mediation, Accounts, Data Capture) to resolve issues efficiently.

Administrative Responsibilities

  • Monitor account activity and ensure billing accuracy.
  • Support team workflows by ensuring all client files and documentation are correctly maintained.

Qualifications:

  • 2–4 Years in an administrative, accounts, or client service role (experience with quotations, invoicing, or reconciliations is advantageous).
  • Matric (High School Diploma) required; further studies in administration, finance, or business are an advantage.
  • Fluency in English and Afrikaans (verbal and written).
  • Proficient in MS Office (Excel, Outlook, Word).
