Job Description:
- Customer Liaison
- Liaises with Clients & Sales representatives in an account management capacity with regards to production and sales orders.
- Establishes and maintains good customer relationships to ensure customer satisfaction.
- Capturing and updating of Sales Orders on SAGE with confirmed Loading date and Loading Site
- Monitoring of stock situation and keeping client informed.
- Regular reconciliations of customer contract status/forecast and ensures timely and accurate feedback to clients.
- Inform Finance timeously of any customer specific invoice related requirements
- Submit bottling request to production planner according to sales order/productions requirements/forecast.
- Check and monitor SAGE regularly to ensure it is updated and reflects confirmed customer requirements on loadings and productions.
- Manages and investigates customer complaints and takes corrective action to ensure customers are informed and complaints are promptly resolved to finality.
- Takes the lead in assisting and resolving any relevant quality issue
- Meeting with other departments to discuss possible improvements to customer service
- Updates SAGE Sales order with confirmed Loading date, Loading Site and Vessel details.
- Inform finance timeously of any customer specific invoice related requirements.
- Completes and updates Service level, daily dashboard and stock report on weekly basis.
- Co-ordination of Production and Logistics Activities
- Liaises with planning, production and warehouse on a continuous basis to ensure orders are produced and distributed to meet the required delivery dates.
- Facilitates the distribution requirements planning process to insure timely and accurate product delivery, which includes product movement from warehouses
- Submit firm load plan on weekly basis to Freight Forwarders, Warehouses/Loading Sites – indicating accurate information and quantities.
- Process documentation for all shipments/collections/deliveries, timeously and accurately
- Establish and maintains good relationships with service providers (SAWIS, DAFF, FF, Control Union, SGS, Bureu Veritas)
- Communicate with freight transport/freight forward companies on order status.
- Liaises with warehouses, freight forwarders and transportation providers to ensure streamlined procedures in line with our business and products.
- Ensure service providers are in compliance with company regulations (IFS, BRC, Health and Safety, etc)
- Administration and Documentation
- Executes all required documentation according to strict time lines and exceptional accuracy.
- Timely management of multiple lines of communication between suppliers, shippers, customers and
internal parties, maintaining details, and relaying pertinent information to appropriate parties
Qualifications:
- Relevant tertiary qualification
- Good understanding and knowledge of exports in the wine industry
- Wine product knowledge and knowledge of wine exports such as applying for export certificates, notification of loading and declaration.
