Events Coordinator

Job Description:
- Coordinate and manage the planning and execution of various events, including year-end functions, weddings (80% of events), conferences, and other special events.
- Communicate with clients to understand their event needs, preferences, and timelines.
- Oversee the coordination of food, bar, and venue services, ensuring seamless execution on the event day.
- Provide event planning guidance to clients, helping with logistics and event flow while maintaining the venue’s standards.
- Serve as the main point of contact for clients, vendors, and internal staff before, during, and after events.
- Coordinate with external vendors for items such as décor, AV equipment, entertainment, and other non-venue services.
- Manage event schedules, ensuring all aspects are on track and within the agreed-upon timeline.
- Assist clients with event layouts, room setups, and any special requirements, ensuring everything is prepared to their satisfaction.
- Ensure compliance with health, safety, and insurance regulations for all events.
- Resolve any issues or emergencies that arise during events to ensure smooth operations.
- Ensure accurate post-event billing and feedback collection for continuous improvement.
Qualifications:
- Bachelor’s degree in Event Management, Hospitality, or related field (preferred).
- Minimum of 2-3 years of experience in event coordination or hospitality management, with a focus on weddings and corporate events.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and customer service skills, with the ability to manage client relationships.
- Ability to work under pressure and handle last-minute changes or requests.
- Proficient in event planning software and Microsoft Office Suite.
- Experience working with vendors and managing contracts.
- Knowledge of event industry trends and best practices.
- Flexibility to work weekends, evenings, and holidays as needed for events.
